Transition Project Management

Your transition from a paper based-system to CorrecTek will be a significant project. Upon your decision to implement CorrecTek, we will assign a project manager to assist your facility in all aspects of the transition.

The transition is typically done in three phases.

  1. Walk-Through
During the Walk-Through phase of transition, the CorrecTek project manager and will spend one to two days on-site at your facility. Depending on the size of your facility, additional CorrecTek staff may be present for the Walk-through. During the Walk-Through phase, your CorrecTek project manager will:
    • Interview key staff
    • Assess existing policies and procedures
    • Determine training needs
    • Advise on hardware requirements
    • Assess laboratory interface needs
    • Assess jail management system interface needs
    • Collect samples of all paper forms for incorporation into CorrecTek
    • Determine the need to scan old medical records into CorrecTek
    • Map out a transition schedule
  2. Training
Training is typically done on-site at your facility and is a critical component to the success of the installation. All users of the CorrecTek software system should be trained and certified in the use of CorrecTek. Training sessions can be facilitated in shifts. We recommend classes of 4 to 8 students per trainer. In larger facilities, we can work with you to facilitate train-the-trainer models but this approach requires extra commitment on your part. The training phase of transition usually takes one to two weeks.
  3. Go-Live
The “Go-Live” phase of the transition is the final phase and should occur within two to four weeks of the completed training phase. During the Go-Love, CorrecTek is brought into production use and, rather than using paper, all medical data will be created and managed in CorrecTek. CorrecTek staff will typically be on-site for a week and stationed in key areas such as intake and the medical care area(s).

On-Site Training

On-Site training is the second phase of the three-phase transition to CorrecTek.

Follow-up training is available for both refresher classes and new-hire training.

On-Site Go-Live Support

The “Go-Live” phase of the transition is the final phase and should occur within two to four weeks of the completed training phase. During the Go-Live, CorrecTek is brought into production use and, rather than using paper, all medical data will be created and managed in CorrecTek. CorrecTek staff will typically be on-site for one week and stationed in key areas such as intake and the medical care area(s).

On-Going 24/7 Support

CorrecTek staff is available 24 hours per day, 7 days a week for telephone support. Most issues typically occur during normal business hours. Because correctional facilities operate around the clock, our knowledgeable staff is available to assist with technical issues after most offices have closed for the day.

Customization Services

The CorrecTek software system is comprehensive and can be further customized to help your facility gain the benefits of EMR. If you prefer to perform the customization work in-house, we can train your staff to customize CorrecTek to fit your needs. However, many facilities do not have an employee that can be dedicated to the task and prefer that CorrecTek handle the software customization on their behalf. CorrecTek staff is available to perform any software customization services needed by your correctional healthcare facility.

Our staff can create the following in CorrecTek:

  1. Intake forms
  2. Medical evaluation forms
  3. Drug screening forms
  4. Any other paper form
  5. Provider dictation templates
  6. Medication Order Definitions
  7. TAR-based order definitions
  8. Word-Documents for export of information
  9. Report Definitions for
    • Clinical needs
    • Orders
    • Workflow
    • Scheduling
    • Billing
    • MAR access
    • Management-By-Exception conditions

We also stand ready to interface CorrecTek to other software systems through software programming as well as performing programming enhancements to the CorrecTek system itself.
